Project overview
We built a web-based mini ERP system for a hotel in Şile, Turkey, which also runs a restaurant and a bar. The system brings stock and inventory, purchasing, finance, operations and task management, and user permissions together in a single panel.
The challenge
In a hotel, stock is not a single warehouse. Hot and cold items in the kitchen, drinks at the bar and supplies at reception all need to be tracked separately. On top of that come purchase orders, suppliers, expenses and tasks across departments. When this information is spread across Excel files and paper slips, it becomes hard to see how much of each product is left, what is being wasted and which orders need to be placed. Large hotel ERP suites, meanwhile, are expensive and more complex than a small or mid-sized hotel needs.
The solution
We built a system shaped around the hotel's own way of working, made up only of the modules it needed:
- Stock and inventory: products tracked by department (kitchen, bar, reception) and sub-category, with stock in/out slips, bulk slip processing, stock counts and waste records, and brand and unit definitions. Products below critical stock levels are highlighted.
- Purchasing: suppliers and purchasing processes managed in the system.
- Finance: income and expenses tracked in one place.
- Operations and task management: tasks assigned and tracked across departments.
- Project management: tracking of work and projects within the hotel.
- Permission control: each user sees only the screens that match their department and role. To help staff work quickly, we used a split-screen design that shows the product list and the edit form side by side. Products can be searched by name, stock code or barcode. We explain when a business needs ERP in What Is ERP Software?, and the limits of Excel for stock in When Excel Is Not Enough for Inventory Management. For a similar system, see our ERP software service.
The result
The hotel's stock, purchasing, finance and task processes moved from scattered files into a single system. Each department tracks its own stock and work, while management can see the whole hotel from one panel.
Key features
- Department-based stock: kitchen, bar and reception stock kept separately.
- Slips, stock counts and waste: including bulk slip processing.
- Purchasing and supplier management.
- Finance tracking: income and expense management.
- Task and operations management: work tracked across departments.
- Role-based permissions: everyone sees only the screens they are authorised for.
